Filling Your Circles: 6 Steps for Connecting with Potential Attendees and Boosting Bookings

So, you've scheduled your Circle, and the date is fast approaching. However, you find yourself in a situation where the number of bookings falls short of what you had hoped for, making it challenging to cover your costs and make the Circle viable. In such a scenario, it becomes essential to employ effective strategies to reignite interest, reconnect with potential attendees, and fill your circle.

Here are six steps to support you to share your Circles with those you’re calling in and fill your Circle (even at the last minute)

Step 1: Be clear on you Desired Attendance Numbers

Start by defining the minimum, ideal, and maximum number of attendees you'd like at your circle. Visualise this by creating a representation of the circle and as people book, add their names to confirm their attendance. You could create a space on your altar, stick post-it notes to the wall or draw a flower and add names to the petals. The purpose of this practice is to connect energetically with the number of people you are calling in and celebrate those who book.

Step 2: Create a List of Potential Attendees

Compile a list of individuals from your community, including previous circle attendees, clients, and friends who would benefit from and enjoy attending your circle. Detach from any preconceived notions about their availability and solely focus on individuals suited to your circle. Think about who you know this Circle is genuinely a good fit for.

Step 3: Visualise Your Circle

Immerse yourself in a visualisation exercise where you envision every aspect of your circle, from participants arriving, to engaging in the activities you've planned, to leaving at the close of the gathering. Close your eyes and see the circle come alive before you. Picture every detail, from the warm smiles of participants to the sacred rituals you’ll share. If you’re inner-landscape isn’t visual you could instead:

  • feel the energy, the connection, and the love that will fill the space,

  • create a collage of what your Circle could look like using images from magazines

  • write out a detailed description, or

  • create a playlist that reflects your Circle

Step 4: Craft Your Message

Based on your visualisation (or other imagination of your Circle), craft a detailed email inviting your community to your Circle. Describe the experience vividly, engaging the senses, and conclude by inviting them to join. If the event isn't geographically accessible to all, encourage people to share your Circle with others they know who might be interested.You can also use this description to create social media posts.

Step 5: Reach Out Personally

Reach out personally to individuals on your list and in your community who you have a genuine connection with. Tailor your outreach based on the nature of your relationship, whether it's through direct messages, emails, or calls. Share why you’d love to have them at your Circle, whilst letting go of any expectation that they attend. If appropriate you can also ask them to share the Circle with their community, colleagues or friends. Please note that this is not sending DMs to people you don’t know (!), it is reaching out to those you do know who would either be a great fit for your Circle or can help you spread the word.

Step 6: Celebrate Your Booked Participants

Connect with those who have already booked a spot in your Circle. Express your excitement and gratitude for their presence. Share with them that there are still a few spots left and ask if they know someone who might enjoy joining. Nurture these relationships and foster a sense of community.

These six steps provide a structured framework for proactively engaging with potential attendees, nurturing existing connections, and reinvigorating interest in your circle. My approach focuses on the importance of being energetically aligned with your Circle and channeling genuine enthusiasm and authenticity into your outreach efforts.
